Wedding Photography & Film Service Agreement

At More Than Red, we believe wedding photography is not just a service but a responsibility. We document moments that will be cherished for generations. This agreement is designed to ensure clarity, fairness, and a smooth experience for both sides. It outlines how we work, what you can expect from us, and what we need from you to deliver our best. Our intention is always to create beautiful memories while keeping everything transparent and professionally structured.

This Agreement is entered into between:

More Than Red, Bangalore, Karnataka, India

Hereinafter referred to as “Studio”

AND

The Client(s) as mentioned in the approved Booking Summary / Invoice

Hereinafter referred to as “Client”

This Agreement, along with the approved quotation and invoice, constitutes the entire understanding between the parties.

Scope of Services

The Studio shall provide photography and/or cinematography services as described in the approved quotation.

Team size, coverage hours, deliverables, and inclusions shall be strictly as per the selected package.

The Client confirms they are familiar with the Studio’s portfolio and artistic style. All creative decisions including poses, framing, lighting, editing style, colour grading, sequencing, and music selection shall remain at the sole discretion of the Studio.

Payment Terms

All prices are subject to 18 percent GST as per Government of India regulations.

30 percent advance payment is required to secure the booking. No date is blocked without receipt of advance.

70 percent balance is due on or before the first day of the shoot.

Editing and post production will commence strictly only after realisation of 100 percent payment.

Final deliverables shall not be released until full payment, including any additional scope charges, is cleared.

This quotation is valid for 7 days from the date of issue.

Cancellation & Rescheduling

The advance amount is strictly non refundable under all circumstances as the Studio blocks the date and declines other bookings.

The Client may reschedule once, provided written notice is given at least 60–90 days prior to the event date and subject to Studio availability.

If the Studio is unavailable on the revised date, the cancellation policy shall apply.

Coverage Hours & Overtime

Coverage hours included per event day shall be as mentioned in the quotation.

Standard humane coverage shall not exceed 12–16 hours per day.

If the event exceeds agreed hours and extended coverage is requested, the Studio reserves the right to accept or decline based on team availability.

Approved overtime shall be charged additionally as communicated at that time and must be cleared before final delivery.

Meal & Rest Breaks

For events exceeding 5 hours, the Client shall ensure proper meals and reasonable access to drinking water for the Studio team.

For long duration events, the Studio team shall be entitled to short humane breaks for rest and meals without affecting overall coverage.

Deliverables & Timelines

Editing begins strictly after full payment is realised.

Final deliverables are typically provided within 8–9 working weeks from the last event date. During peak wedding seasons this may extend to 10–12 working weeks.

Album layout will be shared after image selection. One consolidated round of revisions is included. Any additional revisions will attract extra charges.

Client Selections & Approval Timelines

The Client agrees to provide image selections, album selections, music preferences, and consolidated feedback within 15 days from the date of receiving the relevant gallery, draft, or layout.

If no response is received within 15 days, the Studio may issue one reminder. In the absence of response thereafter, the Studio reserves the right to proceed based on its creative discretion.

All selections, corrections, and approvals must be completed within 12 months from the date of the last event covered.

If the Client fails to complete selections or approvals within this 12 month period, the project shall be deemed completed from the Studio’s end.

Archived data may be permanently deleted after 12 months from the last event date without further notice.

If, after 12 months, the Client requests a reissue of delivered data and if the Studio still has access to such archived files, the Studio may provide the same upon payment of 10 percent of the total invoice value as archival retrieval charges.

RAW Files

RAW or unedited files are not part of standard deliverables.

If specifically requested, RAW files may be provided at the sole discretion of the Studio upon payment of 25 percent of the total invoice value plus the cost of storage device.

Copyright & Usage

Under the Indian Copyright Act, 1957, all images and films remain the sole intellectual property of More Than Red.

The Client is granted a lifetime, non exclusive license for personal use only.

Commercial usage, resale, licensing, publication, or submission of images or films to vendors, brands, media platforms, or third parties for promotional or business purposes requires prior written permission from the Studio.

The Studio retains the irrevocable right to use images and films for portfolio, website, social media, exhibitions, advertising, and promotional purposes.

If the Client requires complete privacy and non usage, an additional 20 percent of the total invoice value shall be applicable.

Social Media Tagging

The Client agrees that if images or films are posted on social media platforms, appropriate credit shall be given to More Than Red wherever reasonably possible.

The Client shall not apply heavy filters, cropping, or alterations that materially change the artistic representation of the work without prior consent.

Vendor & Guest Interference

The Studio shall be the exclusive professional photography and cinematography team for the event unless agreed otherwise.

The Client is responsible for ensuring that guests, vendors, planners, and other photographers do not obstruct, interfere, or compromise the Studio’s coverage.

The Studio shall not be held responsible for missed moments due to interference, crowding on stage, restricted movement, venue limitations, or schedule delays caused by third parties.

Drone & Permissions

All venue permissions, government permissions, and drone NOCs must be arranged by the Client.

The Studio shall not be liable if drone usage is restricted due to government regulations, no fly zones, weather conditions, venue restrictions, or safety concerns.

Equipment Protection & Indemnity

The Client agrees to ensure a safe working environment.

The Client shall be liable for any loss, theft, or damage to Studio equipment arising due to wilful misconduct or negligence by the Client, guests, planners, or vendors under their control.

The Studio reserves the right to suspend coverage if team or equipment safety is compromised.

Safety Clause

The Studio reserves the right to immediately stop coverage and leave the premises without refund if team members face harassment, physical threat, unsafe crowding, intoxicated interference, unsafe electrical conditions, fire hazards, or any situation that compromises safety.

Archiving & Data

The Studio maintains 1 plus 1 backup systems during shoot and post production.

Final edited data will be archived for a minimum period of 6 months from delivery.

After this period, the Studio is not responsible for retaining copies.

The Client is responsible for maintaining multiple backups after delivery.

Limitation of Liability

In the rare event of total technological failure beyond the Studio’s control, liability shall be limited to a refund not exceeding the total amount paid by the Client.

The Studio shall not be liable for emotional distress, consequential loss, or indirect damages.

Delay Protection

Delivery timelines are subject to full payment realisation, timely selections, timely approvals, peak season workload, and force majeure events.

Delays caused due to client inaction shall proportionately extend delivery timelines.

Force Majeure

The Studio shall not be liable for failure to perform due to circumstances beyond reasonable control including natural disasters, pandemics, government restrictions, civil unrest, transport disruption, or medical emergencies.

Non Disparagement

The Client agrees not to make public statements, social media posts, or online reviews that harm the reputation of the Studio without first providing written notice and reasonable opportunity for resolution.

Travel & Accommodation

Travel and accommodation, if applicable, shall be borne by the Client as mentioned in the quotation.

Governing Law

This Agreement shall be governed by the laws of India.

All disputes shall be subject to the exclusive jurisdiction of the courts in Bangalore, Karnataka.
